Refund Policy

Our Commitment To You

We understand that life happens and plans can change. Our refund policy is designed to be fair and transparent, giving members confidence when registering for programs and sessions. Where circumstances allow, we will always aim to provide a meaningful refund or credit.

Refund Schedule

  • Full Refund — 100%: Cancellation requests submitted at least 7 days before the program or session start date are eligible for a full refund of all fees paid.

  • Partial Refund — 80%: Cancellation requests submitted less than 7 days but no later than 24 hours before the program or session start date are eligible for an 80% refund. The remaining 20% covers administrative and allocation costs.

  • No Refund — No refund will be issued for cancellations made less than 24 hours before the start date, missed sessions, or for athletes removed from a program due to a breach of the Club Code of Conduct. Members who voluntarily withdraw mid-program after sessions have commenced are not eligible for a refund on completed sessions.

How to Request a Refund

To request a refund, please follow these steps:

  1. Contact us at coach@parkcityjuniorsvolleyball.com or speak with a Club Administrator (Bethany or Anna) in person.

  2. Provide your full name, the program or session name, your registration date, and the reason for cancellation.

  3. Refunds will be returned to the original payment method used at registration.

  4. You will receive a confirmation email once your refund request has been processed.

Please allow 5–7 business days for the refund to appear in your account, depending on your financial institution.

Exceptional Circumstances

We recognize that serious or unforeseen events — such as a significant medical issue, family emergency, or other exceptional circumstance — may prevent attendance. In such cases, members are encouraged to contact a Club Administrator as soon as possible.

Requests for exceptions to this policy will be reviewed on a case-by-case basis at the discretion of Club Management. Supporting documentation (e.g. a medical certificate) may be requested. Where a cash refund is not granted, a credit toward a future program may be offered.

Additional Notes

  • Registration Fees: Any non-refundable registration or administrative fees will be clearly disclosed at the time of sign-up and are excluded from refund calculations.

  • Program Cancellation by the Club: If the Club cancels a program or session for any reason, a full 100% refund for the missed/cancelled session(s) will be issued to all registered participants.

  • Transfers: Members may request to transfer their registration to another session or program of equal value, subject to availability. Transfer requests follow the same timing windows as refund requests.

  • Policy Updates: This policy may be updated from time to time. The most current version will always be available on the Club website and upon request from the Club Administrator.
